## What Is KPI Tracking for a Treatment Center?

KPI tracking for a treatment center is the system that ties every phone call, contact form, admissions inquiry and insurance verification form back to the ad, search or listing that produced it, then follows each inquiry through to an admission.

The result is a cost per admission (CPA) for every channel and campaign, which tells leadership exactly where the next marketing dollar should go.

### Why cost per admission is the number we manage to

Clicks, sessions and rankings are leading indicators. Admissions fill census and pay for the program.

Lead to Recovery sets every campaign, report and monthly decision against one number: what it costs your center to produce an admission. Lowering that number is the most important work we do for the centers we serve, and the tracking on this page is how we prove it moved.

What we measure

## The KPIs Behind Every Admission

Six numbers, tracked by channel, campaign, program and location.

### Phone calls

Every inbound call is recorded and attributed to its source. Calls are split into first-time and repeat callers, answered and missed, and qualified or short, using a duration threshold set for each account.

### Contact forms

Website contact form submissions are captured with the page, campaign and keyword that produced them, so a form counts the same way a call does.

### Admissions inquiry forms

Requests for an assessment or a call back from admissions are tracked as their own conversion, because they signal a family ready to talk about care.

### Insurance verification forms

Verification of benefits requests show payer intent before the first conversation. Tracking them by channel shows which campaigns bring in the payers your programs accept.

### Admissions

Your admissions team confirms which tracked inquiries admitted. Matched to the calls and forms in CTM, those confirmations turn lead counts into admissions by channel and by level of care.

### Cost per admission

Spend divided by confirmed admissions, reported for each channel and campaign. Cost per lead and cost per qualified call sit beside it as early warning signs.

Conversion analytics

## How CTM Tracks Every Call and Form

CTM (formerly CallTrackingMetrics) is the backbone of our conversion analytics. It assigns a tracking number to each channel and campaign and shows the right number to each visitor based on how they arrived, whether from a Google ad, an organic search, the Google Maps listing or a Meta ad.

Each call is recorded and logged with its source, campaign, keyword and landing page. Form submissions are captured the same way, including contact, admissions and insurance verification forms.

A duration threshold separates real inquiries from wrong numbers and hang-ups. On the [Arizona mental health account](https://leadtorecovery.com/case-studies/arizona-mental-health-seo-ppc-admissions/) that threshold is two minutes, and budget moves toward the campaigns producing calls that clear it.

Tracking goes live before the first optimization does, so every result we report has a baseline behind it.

### The path of one inquiry

- **1.** A parent searches for an IOP near them and clicks a Google ad.
- **2.** The landing page shows the phone number CTM assigned to that campaign.
- **3.** CTM records the call and logs the keyword, ad and page that produced it.
- **4.** Two minutes in, the call counts as a qualified inquiry.
- **5.** Your admissions team confirms the caller admitted, and we match the admission to that call.
- **6.** The dashboard updates cost per admission for that campaign, and next month’s budget follows it.

Your KPI dashboard

## One Custom Dashboard, Every Data Source

Every client gets a custom KPI dashboard built in AgencyAnalytics, with 24/7 access for your leadership and admissions team.

It pulls CTM call and form data together with your ad platforms, analytics and the admissions your team confirms, so calls, forms, spend and admissions sit on one screen instead of six logins.

Each dashboard is built around your programs and locations. A center with detox, residential and IOP sees admissions and cost per admission for each level of care, and a multi-location network sees each facility side by side.

Monthly consulting

## A 30-Minute KPI Review Every Month

Every Lead to Recovery client gets at least one 30-minute consulting call each month with their account manager.

The call walks through the KPI data and ends with an action plan for the month ahead, so the dashboard turns into decisions instead of a report nobody opens.

### What the call covers

- Calls, forms and admissions by channel, compared with last month and last year
- Cost per admission and cost per qualified call for each campaign
- Call quality: missed calls, short calls and after-hours volume
- Landing pages and keywords producing clicks without inquiries
- Budget moves for the next 30 days, tied to the campaigns that admitted
- An owner on our side or yours for every item in the action plan

Lowering cost per admission

## Five Levers We Pull to Lower Cost per Admission

The KPI data tells us which lever to pull first. These are the moves we make most each month.

### Move budget to what admits

Spend shifts toward the campaigns, keywords and locations with the lowest cost per admission, and away from those producing calls that never become patients. See how we run [PPC for rehab centers](https://leadtorecovery.com/rehab/ppc/).

### Cut spend that produces short calls

Search terms and placements that drive wrong numbers, job seekers and short calls are excluded, using call duration to tell them apart. Our [negative keywords guide](https://leadtorecovery.com/blog/negative-keywords-in-ppc/) covers the method.

### Fix pages that get clicks without calls

Landing pages with traffic and no inquiries get tested and rebuilt, so more of the same clicks become calls and forms. That is the work of [conversion rate optimization](https://leadtorecovery.com/rehab/cro/).

### Close the gap between call and admission

Missed calls, slow callbacks and after-hours voicemail show up in the CTM data, and we bring them to the monthly review with your admissions team. Read why [speed to lead](https://leadtorecovery.com/blog/speed-to-lead-treatment-centers/) decides admissions.

### Grow the channels with the lowest CPA

Organic search produced three of every four admissions for the Arizona center in 2026 at a falling cost per admission, so SEO budget is protected while paid campaigns fill the gaps. ## HIPAA-Compliant Call Tracking

Call recordings and form submissions can contain protected health information, so the tracking stack has to be covered.

Lead to Recovery has a signed Business Associate Agreement (BAA) with CTM that covers client call data and recordings. CTM states on its [security page](https://www.ctm.com/security/) that it puts BAAs in place with customers as part of its HIPAA compliance program.

No patient information is sent to Google Ads, Microsoft Ads, Meta or Google Analytics. Conversions reach the ad platforms as counts and values, without names, phone numbers or recordings. Our [HIPAA-compliant marketing guide](https://leadtorecovery.com/blog/hipaa-compliant-marketing-behavioral-health/) explains the rules behind this setup.

Lead to Recovery describes what these rules require and builds within them; your healthcare counsel confirms how they apply to your center.

### Running TV, radio or print?

Broadcast, streaming, audio, print and direct mail campaigns are measured through our [advertising analytics](https://leadtorecovery.com/advertising-analytics/) service, with the same focus on calls and admissions.

Questions treatment centers ask

## KPI Tracking FAQs

### [What KPIs should a treatment center track?](#432fe4d27875bfdf4)

Phone calls, contact forms, admissions inquiry forms, insurance verification forms and confirmed admissions, each attributed to the channel and campaign that produced it. Cost per admission ties them together: marketing spend divided by confirmed admissions, reported for each channel. Cost per lead and cost per qualified call act as early indicators between admissions.

### [How do you calculate cost per admission?](#7a72a2f2fda851f1e)

Divide the spend on a channel or campaign by the admissions it produced in the same period. A campaign that spent $3,000 and produced five admissions has a cost per admission of $600. The admissions count comes from your admissions team, matched to the inquiries CTM attributed to that campaign.

### [How does call tracking work for a treatment center?](#61a42cc74bfa4c7d0)

CTM assigns a tracking number to each channel and campaign and shows the matching number to each visitor based on how they arrived. Every call is recorded and logged with its source, keyword and landing page, and form submissions are captured the same way. Calls that pass a duration threshold count as qualified inquiries.

### [Is CTM call tracking HIPAA compliant?](#c2bd5db6ff67bb0fe)

CTM offers HIPAA compliance features and signs Business Associate Agreements with customers. Lead to Recovery has a signed BAA with CTM covering client call data and recordings, and no patient information is passed to ad platforms or Google Analytics.

### [What is included in the KPI dashboard?](#2a99b26097c9664e2)

Calls, forms, admissions, spend, cost per lead and cost per admission, by channel, campaign, program and location. The dashboard is built in AgencyAnalytics and combines CTM, Google Ads, Microsoft Ads, Meta Ads, Google Analytics 4 and Google Search Console. Your team has 24/7 access.

### [How regularly do you review KPI data with clients?](#df1ac067deb57d726)

Every client gets at least one 30-minute consulting call each month to review the KPI data and agree on the action plan for the next month. The dashboard updates between calls, so your team can check results at any time.

### [Do you need access to our CRM?](#06fefe187ceb80409)

No. We do not connect to your CRM. Your admissions team confirms which tracked inquiries admitted, and we match those admissions to the calls and forms CTM attributed, which is what turns lead counts into cost per admission.

### [What counts as a qualified call?](#35e340543c7fc106b)

A call that clears the duration threshold set for your account, which filters out wrong numbers, hang-ups and short calls. On the Arizona mental health account the threshold is two minutes. Thresholds are reviewed with your admissions team so they match real inquiries.
